Email deliverability and warm-up, explained in full
How we get your mail into Gmail and Outlook: what deliverability is, what we set up, and how we keep your sender reputation healthy. Process and standards, not result claims, because this service is being scoped with early clients.
Sending an email is easy. Getting it accepted is the hard part. Between your outbox and someone’s inbox sits a set of checks that decide whether your mail is trusted, quietly filed as spam, or blocked before it ever arrives. As an email deliverability consultant, our job is to get those checks in your favour.
What email deliverability is
Email deliverability is whether your mail reaches the inbox rather than the spam or junk folder. It is not the same as whether the message was sent. A message can leave your server successfully and still be filed out of sight, and you would never know.
Mailbox providers such as Gmail and Outlook decide where your mail goes based on a few things: whether your domain is properly authenticated, the reputation your sending domain and mailboxes have built, how your list is managed, and what your messages contain. When one of these is off, your placement suffers. We work on all of them.
This page describes a service we are scoping with early clients. Because we do not yet have a bank of inbox-rate figures to point to, we are honest about that. What follows is the process and the standards we hold ourselves to, so you can judge the service on how it is done.
Who this service is for
Deliverability work suits any business whose email matters and is not landing where it should. If your mail keeps hitting spam, or you are about to send in volume, this is the groundwork to lay first.
- Teams whose mail lands in the Outlook junk folder
- Businesses about to start cold outreach
- SaaS teams sending sign-up and billing mail
- Agencies protecting a client’s sending domain
- Anyone facing the Gmail and Yahoo bulk-sender rules
- Senders on a blocklist who need to recover
If your setup is already clean and placing well, we will tell you so rather than invent work.
What you get with Creative Marketers BD
We run the whole job, or only the parts you are missing. Each piece below can be a standalone task or part of an ongoing arrangement.
Deliverability audit
A full check of your authentication, sending reputation, blocklist status and inbox placement, so we know exactly why mail is being filtered before we touch anything.
Authentication setup
SPF, DKIM and DMARC configured and aligned on your sending domains, so mailbox providers can confirm your mail really is from you.
Mailbox and domain warm-up
A gradual, human sending pattern that builds a healthy reputation before your mailboxes ever touch a real audience or a real campaign.
Reputation monitoring
Ongoing watch on your sender reputation, blocklists and DMARC reports, so a problem is caught and handled early rather than after your mail stops landing.
A clear fix list
Everything we find, written in plain language and ordered by impact, so you can see what was wrong, what we changed, and what is left to do.
Authentication: SPF, DKIM and DMARC
Mailbox providers trust your mail partly on three checks. If any is missing or misconfigured, your placement drops. We set all three up correctly and keep them aligned.
SPF
A record that says which servers may send for your domain. It stops others from forging your address and tells receivers your mail is expected.
DKIM
A signature on each message. Receivers use it to confirm the mail really came from your domain and was not altered in transit.
DMARC
A policy that ties SPF and DKIM together and tells receivers what to do with mail that fails. Since 2024 it is expected of anyone sending in volume.
Warm-up and sender reputation
A brand new mailbox that suddenly sends hundreds of messages looks exactly like a spammer to a mailbox provider. Warm-up avoids that. Over roughly two weeks, each mailbox gradually builds a normal sending pattern and a healthy reputation before it touches your real audience.
Reputation is not set once and forgotten. It moves with how you send: your volume, your bounce rate, how often people mark you as spam, and whether you respect opt-outs. We build the reputation up carefully and then keep an eye on it, because rushing volume onto a cold mailbox is the fastest way back into the spam folder.
Reputation monitoring and the fix list
Once the setup is right, the work becomes watching. We monitor your sender reputation, keep an eye on the major blocklists, read your DMARC reports, and run inbox placement tests across providers so we can see where your mail is actually landing.
When something slips, you get a fix list: what we found, why it matters and what to do about it, ordered so the changes with the biggest effect come first. If you are on the ongoing plan, we apply the fixes and keep watching. Nothing is left as a vague warning you cannot act on.
Correct authentication, a warmed reputation, and a fix list you can act on, so mailbox providers accept your mail.
What it costs
Pricing depends on how many domains and mailboxes you run, the state of your current setup, and whether you want a one-off audit and fix or ongoing monitoring. Because those vary, we scope each job and send a quote rather than post a single figure.
Frequently asked questions
The questions we hear most about email deliverability, answered straight.
Q. What is email deliverability?
Email deliverability is whether your mail actually reaches the inbox rather than the spam or junk folder, or being blocked outright. It depends on how your domain is authenticated, the reputation of your sending domain and mailboxes, how your list is managed and what your messages contain. We work on all of these so mailbox providers such as Gmail and Outlook are willing to accept your mail.
Q. Why is my email going to spam or the Outlook junk folder?
Usually it is a mix of missing or misconfigured authentication, a cold or damaged sending reputation, being listed on a blocklist, or content and list habits that look risky to a filter. We run an audit to find which of these apply to you, then fix them in priority order rather than guessing.
Q. What are SPF, DKIM and DMARC?
They are three DNS records that let mailbox providers trust your mail. SPF lists which servers may send for your domain, DKIM adds a signature that proves a message was not tampered with, and DMARC ties the two together and tells receivers what to do with mail that fails. Since 2024, Gmail and Yahoo require all three from anyone sending in volume, so we configure and align them for you.
Q. Can you promise my email will reach the inbox?
No, and you should be careful with anyone who promises inbox placement. Mailbox providers make the final decision and their filters change. What we commit to is the process: correct authentication, a warmed and monitored sender reputation, clean list practices and a clear fix list. That is what makes your mail far more likely to be accepted.
Q. Do I need to change my email provider?
In most cases, no. We work with your existing provider, whether that is Google Workspace, Microsoft 365 or another platform, and fix the authentication, warm-up and reputation issues around it. If cold outreach is the goal, we may recommend separate secondary domains so your primary domain is never put at risk, but your normal business email stays where it is.
Q. How much does it cost and how do I start?
It depends on the number of domains and mailboxes, the state of your current setup and whether you want a one-off audit and fix or ongoing monitoring. See our pricing page or message us on WhatsApp with your domain and email provider, and we will scope it and send a quote.
